Bulk Vehicle Check Upload - How It Works

Total Car Check's Bulk Upload tool allows you to quickly upload and check multiple vehicle registrations (VRMs) in one go. Designed for speed and efficiency, this feature is ideal for users who need to generate multiple Gold Check reports at scale-saving time compared to checking vehicles individually.

Step 1: Prepare your upload file

Create a .csv or .txt file containing up to 50 Vehicle Registration Marks (VRMs).

Your file can be formatted in any of these ways:
  • One VRM per row - recommended
  • Multiple VRMs on one row, separated by commas
  • VRMs listed across columns or in a single cell, separated by commas

Important: Please check your file carefully before uploading. The file should contain VRMs only, with no extra text or formatting.

Step 2: Open the Bulk Upload tool

Sign in to your Total Car Check account and go to bulk upload.

You'll see the Bulk Upload dashboard, including your current Gold Voucher balance.

Step 3: Upload your file

Click Choose file, select your saved .csv or .txt file, then click Upload. The system will check the file and prepare the VRMs for processing.

Step 4: Confirm your upload

After a successful upload, a confirmation pop-up will show:
  • Rejected VRMs
  • Pending VRMs
  • Total VRMs uploaded
  • How many Gold Vouchers will be used
From here, you can either:
  • Click Generate Reports to begin processing immediately, or
  • Click View Items to review the upload before generating reports

Step 5: Review pending items

If you click View Items, you'll see the Bulk Upload Items report.

This page shows (depending on the screen size of your device):
  • File name
  • Upload date
  • Bulk upload status
  • Number of rejected, pending, error, processed, and total VRMs
  • A table listing each uploaded VRM

Check this page carefully before generating reports.

Step 6: Generate reports

When you're ready, click Generate Reports.

Generating reports will use one Gold Voucher per report. Processing can take up to 5 minutes, depending on the number of VRMs uploaded.

Step 7: View completed reports

Once processing is complete, the Bulk Upload Items page will update.

For each processed VRM, you'll be able to see (again, depending on the screen size of you device):
  • Vehicle make and model
  • Voucher code used
  • Report icon
  • Result
  • Status

Click the report icon on each row to view the Gold Check report. Your completed reports will also appear in: My Checks Purchased

Who is Bulk Upload for?

Bulk Upload is designed for trade customers who need to check multiple vehicles quickly and efficiently.

This includes:
  • Auction houses
  • Car dealerships
  • Remarketing agents
  • Leasing companies
  • Finance companies

Do I need enough vouchers before generating reports?

Yes. You'll need enough Gold Vouchers to cover the number of reports you want to generate. If you don't have enough vouchers, this will be flagged before reports are generated and you'll need to top up.

Can I pay for a bulk upload by card?

No. Bulk Upload currently uses Gold Vouchers only. Please add vouchers to your account before generating reports.

Can I upload more than 50 VRMs at once?

Not at the moment. If you'd like to upload more than 50 VRMs, please email enquiries@totalcarcheck.co.uk so we can consider this for future development.

What happens if I upload the same VRM more than once?

Please check your file before uploading but we do automatically filter out duplicate VRMs in the same file as part of the upload process. Reports will not be generated for any duplicate VRMs and therefore you will not be be charged.

Will the reports be emailed to me?

No. Reports are available to view from the Bulk Upload Items page and My Checks Purchased page in your account where the report can be downloaded.
